Outline Privacy Notice
This notice explains the information Outline processes, why it is used, how it is protected, and the choices available to users.
Information we process
Outline processes account and session information; business profile and settings; project and lead details supplied by an authenticated business; private videos, audio, typed notes, transcripts, extracted scope, and reviewed preliminary budgets; customer responses; and limited operational records needed for security, reliability, support, retention, and deletion.
How information is used
We use this information to authenticate users, operate the private project workflow, process evidence, prepare estimator-reviewable preliminary budget ranges, share approved results, record responses, provide recovery and notifications, prevent abuse, support users, and honour export and deletion requests.
Pilot access requests
The native pilot request sends only the requester’s name, business, and email so Outline can follow up about access. It must not include project details, media, customer information, passwords, or private links.
Sharing and service providers
Outline does not sell personal information, use it for cross-app tracking, or operate advertising analytics. Information is disclosed only as needed to the business using Outline, an authorized private-link recipient, or service providers that support hosting, private storage, processing, email, recovery, logging, and backups. Providers receive only the information needed for their function.
Private links and customer responses
A private customer page shows only estimator-approved scope, one overall range, a disclaimer, and response choices. It does not expose source media, transcripts, internal analysis, pricing inputs, customer contact details, or access credentials. Response records contain the selected response, any optional comment, and operational timing information.
Retention, security, and your choices
Outline uses tenant isolation, private storage, access controls, expiring or revocable private links, redacted operational logging, and encryption provided by platform and service infrastructure. Authenticated users can review data controls, export account information, delete project media and derived data, revoke shared links, and request in-app account deletion. Some limited security, transaction, or deletion receipts may be retained where reasonably required to protect the service or document completed requests.
